For limited company directors, keeping business and personal finances separate sounds simple. But in practice, it’s surprisingly easy for the lines to become blurred.
A personal purchase goes through the company account. A transfer is made without a clear reference. Something gets paid with the intention of “sorting it out later”.
Individually, these transactions might not seem like a big deal. But over the course of a year, they can quickly make your company records more complicated than they need to be.
Money taken from a limited company isn’t automatically yours to spend personally.
Depending on the circumstances, payments to a director could relate to salary, dividends, reimbursed expenses or the director’s loan account. How those transactions are recorded can have consequences for your accounts and tax position.
Messy records can also make it harder to see something equally important: how your business is actually performing.
If personal and business spending are mixed together, getting a clear picture of cash flow, costs and profitability becomes more difficult.
Keep the company bank account for genuine business costs wherever possible.
If something unusual does happen, record what it was and why straight away rather than trying to remember months later.
Make sure salary and dividend payments are properly documented, and regularly review any money moving between you and the company.
Most importantly, avoid building up a collection of unexplained transactions to deal with at year end.
Good bookkeeping isn’t just about making life easier for your accountant. It gives you cleaner records, better information and more confidence in the financial position of your business.
A little organisation today can save a lot of questions tomorrow.
